This Privacy Policy sets out how Tech Industry Night (“TIN”, “we”, “us”, “our”) collects, uses, discloses, and otherwise handles personal information in connection with the Tech Industry Night event (“Event”). This policy applies to all individuals who register for, attend, or otherwise interact with the Event through the Humanitix ticketing platform or related channels on our website.
We are committed to complying with the Australian Privacy Act 1988 (Cth) (“Privacy Act”), the Australian Privacy Principles (“APPs”), and the Information Privacy Act 2009 (QLD) (“IPA”), to the extend applicable to our operations.
By reistering for or attending the Event, you acknowledge that you have read and understood this Privacy Policy and consent to the collection, use, and disclosure of your personal information as described herein.
2. Personal Information We Collect
In the course of organisng and conducting the Event, we may collect the following categories of personal information:
2.1 Information Provided Directly By You
When you register for the Event through the Humanitix platform, we collect your:
- Full name
- Email address
- Contact number
- Degree and/or field of study
- Interest in future opportunities
- Any additional fields collected via the registration form
2.2 Information Collected at the Event
During the Event, we may collect additional personal information, including:
- Photographic and vido recordings (including images in which you may appear in the background)
- Audio recordings of presentations, panel discussions, or networking sessions
- Survey responses
- Any other information collected at the Event
2.3 Information from Third Parties
We may receive personal information about you from third-party sources, including:
- Humanitix (ticketing and registration data)
- Industry partners who may share information with us in connection with the Event
- Other third-party sources
3. Purposes of Collection, Use, and Disclosure
We collect, use, and disclose your personal information for the following purposes:
3.1 Event Administration
- Processing your Event registration and issuing tickets
- Communicating with you regarding Event logistics, updates, and changes
- Managing Event attendance and access
- Providing customer support in relation to the Event
3.2 Data Aggregation and Analytics
We aggregate and analyse attendee data (including name, degree, and email address) to:
- Generate de-identified and aggregated demographic insights regardingg Event attendees
- Produce statistical reports on attendee profiles, including fields of study, educational background, and professional interests
- Evaluate and improve the quality and relevance of future events
- Inform strategic planning and content development for the greater tech industry community
3.3 Sharing with Industry Partners
We share personal information, including aggregated and, where you have provided consent, individually identifiable data, with our industry partners (“Industry Partners”) for the following purposes:
- Facilitating networking and professional development opportunities between attendees and Industry Partners
- Enabling Industry Partners to contact you regarding employment, internship, or collaboration opportunities
- Providing Industry Partners with aggregated demographic and statistical data regarding Event attendees
- Any additional purposes for sharing with Industry Partners
- The above information may also be shared with prospective Industry Partners

3.4 Marketing and Communications
Subject to your preferences and applicable law, we may use your personal information to:
- Send you information about future Tech Industry Night events and related programs
- Provide you with newsletters, updates, or promotional materials from us or our Industry Partners
- Invite you to participate in surveys, feedback sessions, or research activities
Per the Spam Act 2003 (Cth), you may opt out of marketing communications at any time by contacting us at privacy@techindustrynight.com or using the unsubscribe mechanism in any electronic communication.
3.5 Photographic and Video content
The Event will be filmed and photographed for promotional, educational, and archival purposes. By attending the Event, you acknowledge and agree that:
- You may appear in the background of photographs or video recordings taken at the Event
- Such photographs and video recordings may be used by us and our Industry Partners in promotional materials, social media, websites, publications, and other media, in perpituity and without further notice or compensation
- We will use reasonable efforts to ensure that any such use is conducted in a manner that is respectful and appropriate
If you do not wish to appear in any photographic or video content, please notify a member of the Event team upon arrival, and we will make reasonable efforts to accommodate your request. However, we cannot guarantee that you will not appear incidentally in a wide-angle or crowd shots.
3.6 Legal and Regulatory Compliance
We may use or disclose your personal information as required or authorised by law, including to:
- Comply with applicable laws, regulations, or legal processes
- Respond to lawful requests from government authorities or law enforcement
- Protect our legal rights, safety, or property, or that of our attendees, Industry Partners, or the public
4. Legal Basis for Processing
We collect and process your personal information on the following bases under the Privacy Act and the IPA:
- Consent: Where you have provided informed and voluntary consent to the collection, use, and disclosure of your personal information for specified purposes (APP 3.3).
- Legitimate purpose: Where the collection and use of your personal information is reasonably necessary for, or directly related to, our functions and activities in organising the Event (APP 3.1; APP 6.1).
- Legal obligation: Where processing is required or authorised by or under an Australian law or a court/tribunal order (APP 6.2(b)).
5. Disclosure of Personal Information
We may disclose your personal information to:
- Our Industry Partners, as described in section 3.3 above
- Humanitix, as our ticketing and registration platform provider
- Service providers who assist us in organising and conducting the Event (e.g., venue operators, audiovisual providers, IT service providers)
- Professional advisors, including legal, accounting, and insurance professionals
- Government authorities or law enforcement, where required by law
- Prospective Industry Partners
We take reasonable steps to ensure that any third party to whom we disclose your personal information is bound by obligations of confidentiality and handles your information in accordance with the APPs.
6. Cross-Border Disclosure
We may disclose your personal information to recipients located outside of Australia, including, USA and prospective Industry partners. Where we do so, we will take reasonable steps to ensure that the overseas recipient handles your personal information in accordance with the APPs, as required by APP 8.1.
By providing your personal information to us, you consent to the disclosure of your information to overseas recipients on the basis that we may not be able to ensure that the overseas recipient handles your information in compliance with the APPs. If the overseas recipient handles your information in breach of the APPs, you may not be able to seek redress under the Privacy Act.
7. Data Retention
We will retain your personal information for as long as is reasonably necessary to fulfil the purposes for which it was collected, or as required by law. Specifically:
- Registration and contact information will be retained for 5 years following the Event, unless you request deletion earlier
- Aggregated and de-identified data may be retained indefinitely, as it does not constitute personal information
- Photographic and video content may be retained and used indefinitely for the purposes described in section 3.5
When your personal information is no longer required, we will take reasonable steps to destroy or permanently de-identify it, in accordance with APP 11.2.
8. Data Security
We take reasonable steps to protect personal information from misuse, interference, loss, and from unauthorised access, modification, or disclosure, in accordance with APP 11.1.
Personal information collected in connection with the Event is primarily processed and stored through third-party service providers, including Humanitix for ticketing and registration, and Google Workspace tools (such as Google Sheets) where information is exported, combined, analysed, or managed for administrative, research, marketing, and industry engagement purposes. Where we use these platforms, we take reasonable steps to ensure that access to personal information is restricted to authorised members of the Event team and only for legitimate Event-related purposes.
Our security practices may include:
- restricting access to personal information to authorised personnel only;
- using password-protected accounts and access controls for platforms and files containing personal information;
- limiting the use of identifiable information where reasonably practicable, including through aggregation and de-identification of attendee data before sharing demographic or statistical insights;
- taking reasonable steps to ensure that third-party service providers handling personal information on our behalf have their own privacy and security safeguards in place; and
- securely deleting or de-identifying personal information when it is no longer required, in accordance with section 7 of this policy.
Where physical records containing personal information are created, we will take reasonable steps to store them securely and restrict access to authorised persons.
While we take reasonable precautions to protect personal information, no method of electronic transmission or storage is completely secure, and we cannot guarantee the absolute security of personal information.
9. Your Rights
Under the Privacy Act and the IPA, you have the following rights in relation to your personal information:
9.1 Access
You have the right to request access to the personal information we hold about you (APP 12). We will respond to your request within a reasonable period, and where required by law, within 30 days.
9.2 Correction
You have the right to request that we correct any personal information that is inaccurate, out of date, incomplete, irrelevant, or misleading (APP 13).
9.3 Withdrawal of Consent
Where we rely on your consent to process your personal information, you may withdraw your consent at any time by contacting us at privacy@techindustrynight.com. Withdrawal of consent does not affect the lawfulness of any processing carried out prior to withdrawal.
9.4 Complaints
If you believe that we have breached the APPs, you may lodge a complaint with us by contacting us at privacy@techindustrynight.com. We will investigate your complaint and respond within 30 days. If you are not satisfied with our response, you may escalate your complaint to:
- The Office of the Australian Information Commissioner (OAIC)
- The Office of the Information Commissioner Queensland (OIC)
10. Third-Party Platforms
Your registration for the Event is processed through Humanitix. Humanitix’s collection, use, and disclosure of your personal information is governed by its own privacy policy, which is available at https://static.humanitix.com/pdfs/privacy_and_cookie_policy.pdf. We encourage you to review Humanitix’s privacy policy before registering for the Event.
Our Event website and communications may contain links to third-party websites. We are not responsible for the privacy practices or content of those websites.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or for other operational reasons. Any material changes will be communicated to you via website notification. The updated policy will be effective from the date stated at the top of this document.
